Privacy Policy
How we handle information.

This policy explains how Leargas collects, uses and protects information when you use our website and application (the Service).
1. Who we are
Leargas is a trading name of TWS Training Ltd. Company number 15950678. VAT number GB 475 8050 70. Registered office: 47 Woodville Road, Barnet, England, EN5 5HB. Email hello@leargas.co.uk.
TWS Training Ltd is the data controller responsible for personal information collected through Leargas.
2. What information we collect
From facilitators (account holders): name and email address, account login credentials, the session content you create (templates, worksheets, session structure), usage data such as pages visited and features used, and payment and billing information if and when paid plans launch.
From learners (session participants): the name you enter to join a session and the answers you submit inside a worksheet during a session. No account, password or lasting profile is created for learners, and no login is required to take part.
Collected automatically: IP address, browser type and device type, plus cookies and similar technologies. See the cookie policy for details.
3. How we use information
We use the information we collect to:
- Provide, operate and maintain the Service
- Let facilitators build, save and reuse worksheet templates
- Let learners join and take part in live sessions
- Show facilitators live completion status and run the feature that puts an answer on the big screen
- Contact facilitators about their account or the Service
- Improve and secure the Service
- Meet our legal obligations
4. Legal basis for processing (UK GDPR)
Where UK or EU data protection law applies, we rely on: contract, to provide the Service you signed up for; legitimate interests, to improve and secure the Service and for basic usage figures; consent, for non-essential cookies and any marketing messages; and legal obligation, where we are required to keep or disclose information.
5. Sharing your information
We do not sell your personal data. We may share information with:
- Service providers who help us run Leargas: managed cloud hosting, database and file storage, email delivery, and the AI service used for session summaries where a facilitator has switched that on
- Authorities, where we are required to by law
- A successor business, in the event of a business transfer
We do not share learner names or session answers with anyone outside the facilitator running that session, any co-facilitator they have invited, and the service providers above.
6. Data retention
Facilitator account data is kept for as long as the account is active, then removed within 30 days of the account being closed, apart from records we have to keep for legal or accounting reasons.
Learner session data (names, answers, rooms, requests for help) is kept according to the setting on each session: keep until deleted, or clear 30, 90 or 365 days after the session ends. A facilitator can also clear a session's participant data at any time, and deleting a session removes everything in it.
7. Your rights
If UK or EU data protection law applies to you, you have the right to access the personal data we hold about you, correct inaccurate data, ask for your data to be deleted, object to or restrict certain processing, ask for a copy of your data in a portable format, and withdraw consent at any time where processing is based on consent.

8. Data security
We take reasonable technical and organisational measures to protect your information, including access rules enforced by the database itself, encryption in transit and at rest, and a record of important actions. No system is completely secure, so we cannot guarantee absolute security.
9. International transfers
Data is held in managed cloud hosting in the UK or the EEA. Where any transfer outside the UK or EEA is needed, for example to a support tool or the AI summary service, we rely on an adequacy decision or Standard Contractual Clauses.
10. Children's privacy
Leargas is for adult professionals, facilitators and workplace learners. It is not aimed at children and we do not knowingly collect personal data from children.
11. Changes to this policy
We may update this policy from time to time. The updated version will be posted here with a new last updated date.
